Charges:

Organize a "public session" during the Annual meeting, to which the public is invited. The topic should be of public interest and could consist of only one or two dynamic speakers. This session could be advertised in the local media. Coordinate this activity with the Program Committee. (This needs to be considered for the 2003 meeting. The 2002 Program is set).

Consider inviting one or two EMS members to write up an article of topical scientific interest for distribution to the news media. Should this be undertaken, submit a draft copy to the Executive Board for review prior to release.

Arrange, in conjunction with the Management Company to set up a few appropriate interviews of speakers with news media representatives.

Carry on liaison with the Society of Toxicology and other societies to keep EMS informed of progress in the development of policy statements on the use of animals in the laboratory.

In conjunction with the EMS Business Office, the Chair of the Student and New Investigator Committee and the Program Chair, prepare information for faculty and students of the local area universities and colleges of the annual meeting. Invite them for limited attendance with no registration fee.

In conjunction with the Program Chair and Management Company investigate inviting local advanced high school biology students to assist with the AV operations at the meeting.

Collect and maintain the Society archives, including photos, tapes and documents pertaining to the history of the EMS and the field. The historical material is to be entered, referenced and appropriately located at EMIC/ORNL. In conjunction with the Management Company, evaluate future storage site (and medium) of archives. An alternative archive site must be found for the EMS records. It is suggested that these be located at the University of Tennessee at Knoxville. We require an academic archives (at no cost) that can be maintained by an archivist with computer records that can be accessed for scholarly study. Contact Liz von Halle and John Wassom for information on the U. of Tennessee. We may be able to enlist the help of Scott Frickel (who did his thesis on the EMS) to help organize the files. In conjunction with this, all members should be contacted (e-mail and Newsletter) to encourage them to submit old records, Newsletters, programs. Some specific missing items have been identified.

Explore means by which information available in the archives may be publicized and brought to the attention of members of the Society and/or public at large when appropriate.

Prepare archival material for exhibition at the EMS annual meeting.

It is suggested that photographs taken over the last 2 years photos may be necessary at the meeting to identify people. Others may be converted to CD and a slide show arranged.

Take responsibility for having photographs taken at the annual meeting, covering such special events as the Awards ceremony and including informal candid pictures for the archives and for use in the Newsletter.

Prepare, print and mail the EMS Newsletter on a semiannual basis, or more often if necessary, or desirable.

Inform the membership of important activities and developments within the society (e.g. elections, dues, annual meeting registration fees, committee efforts, etc.)

Announce dates and subjects of meetings of interest to EMS members.

Publish programs and events of regional groups, as space permits, after consulting with the editors of regional newsletters.

In consultation with the Treasurer, prepare a budget for the Newsletter. Specific consideration should be given to expenses for typing, formatting, editing, printing and postage. The extensive and intensive time commitment required of this committee is greatly appreciated by the Society but compensation is not provided. The committee is encouraged to call on assistance from many other members of the Society.

Establish mechanism for including reports from related EMS societies or other societies.

Maintain a Placement Service

Maintain an up-to-date listing of available positions and candidates on the EMS Web site.

Act as a liaison between candidates and prospective employers.

In conjunction with the Management Company, keep the on-line directory up to date.

Maintain the EMS e-mail list; determine an alternate server from ORNL.

Established and maintain on-line payment capabilities for dues, meeting registration, etc.

Maintain the on-line abstract submission process.
